How Delabie runs 10 client events per month across Europe

Delabie, the French manufacturer of water controls and sanitary ware, moved from paper invitations to one shared event system. Its sales teams now run private client evenings and roadshows in 8 countries and 5 languages, from the same templates.

Delabie is a French manufacturer and a European leader in water controls and sanitary ware for public buildings, commercial spaces, and healthcare facilities. The company designs products that save water and last for decades. Its sales teams meet architects, installers, and specifiers across Europe through a steady program of private evening events and roadshows.

INITIAL CHALLENGES Managing repeat events without repeat work.

Delabie invited clients the traditional way. Sales representatives handed out paper invitations, city by city.

The format worked, but it did not grow well. Delabie runs the same types of events again and again, in different cities, all year long. Every event meant starting from zero.

Sales assistants carried most of that load. They had no single place to manage guest lists, track replies, or follow up with people who had not answered.

Delabie needed three things: one tool for all commercial event activity, standard setups they could reuse, and a process simple enough for teams in several countries to follow.

THE SOLUTION One platform for every client evening.

Delabie now runs its full event program on Eventtia. Each event follows the same path, from the guest list to the door.

With Eventtia, the Delabie teams can:

  • Import guest lists directly from their client database.
  • Send invitations that guests accept or decline in one click.
  • Send reminders only to people who have not replied yet.
  • Publish a short event website with the date, time, place, and program.
  • Check guests in on site with the Eventtia check-in app.
  • Send SMS reminders before the event, and SMS invitations for the next one.

Eventtia's Premium Support packs helped Delabie go further. Most of that support went into building translated templates for their international teams.

The result is a set of ready-made models. A sales assistant opens a template, changes the city and the date, and the event is live.

THE BENEFITS From one country to eight in a single year.

Eventtia changed how Delabie works, and how far it can reach.

  • Reusable templates for every event. The same structure serves every city and every evening. Teams no longer rebuild each event from scratch.
  • Real numbers, automatically. Acceptance rates and attendance rates come straight from the invitations and the check-in app. Delabie can finally measure what each event delivers.
  • Fast international rollout. Year one covered France only. Within about one year, Delabie added Belgium, the Netherlands, Luxembourg, Germany, Poland, and the United Kingdom. Spain joined recently.
  • Five languages, one system. Templates now exist in French, Dutch, German, Spanish, and English. Every country works the same way, in its own language.
  • A team that grew with the tool. Delabie started with 5 users. Today 10 people run events on Eventtia.
  • Volume without extra effort. About 10 events per month, one per city, all managed from a single platform.

THE BIG PICTURE

In two years, Delabie has turned a paper-based invitation process into a shared European system. Around 150 events and 9,400 attendees later, the company runs 10 events per month with a small team and a clear method. The events look consistent, the data is reliable, and the setup takes minutes instead of days.

The next step is Portugal. The entity is already created, and the local team will be trained soon. Each new country joins the same system, with the same templates, in its own language. For Delabie, event management is no longer a task to repeat. It is a process that travels.
