Invite-only registration

Invite-only events. Your brand, end to end.

Eventtia is event registration software for invite-only events. Decide who can register, not only how many: keep the page out of search engines, restrict registration to your guest list, or approve each registration before it is confirmed.

Access

Three ways to make an event private.

In Eventtia, you set each rule for each attendee type. Loading a guest list does not restrict registration on its own: restriction is a separate setting. About 1 in 5 Eventtia events that use a guest list restrict registration to it.

Unlisted page

What it does

The page does not appear in search engines or event listings. Only people with the link can reach it.

What it does not do

On its own, it does not stop a forwarded link. Anyone with the link can register.

When brands use it

Client events where the invitation goes out from the CRM, and a guest's friend is welcome.

Guest-list restriction

What it does

With guest-list restriction enabled, only the email addresses on the list can register. Any other email is rejected.

What it does not do

It checks the email address, not the person.

When brands use it

Private previews, dinners and launches with a fixed list.

Approval

What it does

Anyone with the link can apply. Each registration stays pending until it is approved or declined.

What it does not do

You set the criteria. Your team or an agent applies them.

When brands use it

Events with few places, where the audience must match a profile.

Two more options exist for specific cases. One shared password can protect a page, which suits internal events better than client events. For employee-only events, registration can go through your company's single sign-on (SSO), so only people in your company directory can register. How SSO-protected portals work.

Approval

Manual approval for VIP and private events.

Eventtia supports manual approval for each attendee type. It is useful when places are few and the audience matters: a run for women only, a workshop for one age group, a masterclass for people who will really use it. The form asks the questions that help decide, such as motivation or experience. Someone in marketing or in the store reviews the pending registrations against simple guidelines.

Nearly half of Eventtia customer accounts (45%) use registration approval.

Pending

The registration already holds a place, so review the list quickly.

Approved

The guest receives the confirmation and QR code automatically.

Declined

The guest receives an automatic email that your brand writes and designs.

Plus-ones

Plus-ones and companions, by name.

Many private events are planned for couples. At luxury brand events on Eventtia, 41% allow companions, and nearly 9 in 10 guests who bring someone bring exactly one person.

Events are one of the few moments when a brand meets a person and can ask directly for consent to stay in touch. This is why most brands keep plus-ones named.

Named

Each companion has a name

The guest adds one or two companions, each with their own name and email. Your team sees the group in the back office, and each export carries a group ID.

Without names

Places for a number of people

For open events, a person states how many people come and gets one QR code each. Faster for the guest, but you will not know who came.

Steps

How to run an invite-only event in Eventtia.

  1. Step 01

    Choose who can register

For each attendee type: anyone with the link, guest-list restriction, or approval.

  2. Step 02

    Build the page

Use your own domain and your design. Guests see your brand only, on the pages and in the emails. Set the page as unlisted.

  3. Step 03

Set the form, plus-ones and capacity

Add the questions you need, decide if a guest can bring one or two people, and set the number of places.

  4. Step 04

    Load the guest list

Upload a file with first name, last name and email. If you use a CRM, connect it now, mapped to your own fields.

  5. Step 05

    Test before you invite

Register with an invited email, with an email that is not on the list, and with a registration that needs approval. Check that each one behaves as planned.

  6. Step 06

    Send the invitations

From Eventtia, each guest gets a personal link and a form that already contains their details. Or send one shared link from your CRM or marketing tool.

  7. Step 07

    Review and remind

Approve or decline pending registrations, one by one or in bulk. Remind invited guests who have not answered, and registered guests the day before.

  8. Step 08

    Check guests in

Staff scan each guest's QR code with the onsite app, also from an Apple or Google Wallet pass. With a CRM integration, check-ins update the guest's record.

Forms and capacity

One form per attendee type, limits where you need them.

Each attendee type has its own registration form, and hidden fields let your team add notes, such as the guest's sales associate, that guests do not see. Most consumer events need only one attendee type. In luxury, the second attendee type is most often the plus-one, not a VIP tier. More on forms in event registration software.

Capacity can be set at three levels, each inside the one above (slot-based registration). There is no setting at track level: a track that needs its own limit is set up as its own attendee type.

Session or time slot12 / 15 places

Each workshop, tasting or appointment has its own limit.

Limits

What invite‑only registration does not stop.

Better to know the limits before the event than at the door.

A forwarded link

An unlisted page alone does not stop it: anyone with the link can register. With guest-list restriction enabled, anyone whose email is not on the list is rejected.

A second email

The same email address cannot register twice for the same event. Without guest-list restriction, one person can still register again with another address.

Two devices offline

Offline check-in syncs when the connection returns. A guest checked in on at least one device counts as present.

When Eventtia fits

Built for brand events that repeat.

Pernod Ricard chose Eventtia over Cvent, and runs guest-list-only events on it. Nike runs more than 5,000 sporting events on Eventtia (case study). For a full comparison, see Cvent alternatives for luxury and retail brands. For programs where each store runs its own events from a shared model, see store event software.

For seated dinners and galas, Eventtia handles invitations, registration and check-in, but not the seating plan.

  • Your brand, on your domain

Retail and luxury setups are full white label: no Eventtia logo or name on the pages or in the emails.

  • Guest-list restriction that controls access

Registration is matched by email, for each attendee type.

  • Approval and plus-ones you can follow

Approval is set for each attendee type, and guests who come together share a group ID.

  • Data that reaches the right record

With a CRM integration, Eventtia stores your CRM's ID on each attendee, so registrations and check-ins update the right contact. How it works with Salesforce. For client events tied to your CRM, see clienteling event software.

FAQ

Invite-only registration, answered.

What is invite-only event registration software?

It is software that controls who can register for a private event, not only how many people. Eventtia does this with three controls, set for each attendee type: an unlisted page, guest-list restriction by email, and manual approval. It also handles named plus-ones, capacity and QR check-in at the door.

How do I manage registration for invite-only events with private guest lists?

In Eventtia, upload the guest list with each guest's email, then turn on guest-list restriction for the attendee type you choose. Only those emails can register. Keep the page out of search engines, and send each guest a personal link with a pre-filled form.

How do I run event registration with manual approval for VIP attendees?

In Eventtia, turn on approval for the VIP attendee type. Each registration stays pending until your team approves or declines it, one by one or in bulk. Approved guests receive their confirmation and QR code automatically; declined guests receive an email that you can edit.

What is the difference between an unlisted page and guest-list restriction?

In Eventtia, an unlisted page hides the event from search engines and listings, but anyone with the link can register. With guest-list restriction enabled, only the email addresses on the list can register.

Can I use a different registration form for each attendee type?

Yes. In Eventtia, each attendee type has its own registration form, its own capacity and its own access rule. Hidden fields let your team add notes that guests do not see.

Can a guest bring a plus-one to an invite-only event?

Yes. In Eventtia, you decide if a guest can add one or two companions. Each companion has their own registration, and a group ID links them to the guest who invited them.

What happens if an invitation link is forwarded?

In Eventtia, if the event relies on an unlisted page alone, the person who receives the link can register. With guest-list restriction enabled, the registration is rejected unless their email is on the list.

Does check-in work without internet?

Yes. The Eventtia onsite app works offline. Load the guest list on each device before doors open. Check-ins are saved on the device and sync when the connection returns. A guest checked in on any device counts as present.
