Private client events. Attendance back in Salesforce.

Eventtia runs registration and check-in for your private client events, under your brand. With the Salesforce integration configured, who registered and who came goes back to the client record your teams use for follow-up.

In short

Where Eventtia fits in a clienteling program.

Eventtia is the event part of a clienteling program. Your team invites selected clients, the client registers on a page under your brand, your staff check guests in at the door, and with the integration configured the result reaches your CRM, for example Salesforce.

Clienteling app

Supports the relationship between each sales associate and their clients.

Your CRM, often Salesforce

Holds the client records, the campaigns and the reports.

Eventtia

Runs the event: page, registration, approval, companions and check-in. Then sends registration and attendance to your CRM.

Eventtia does not replace your clienteling app or your CRM. It adds the event, and writes the result where your teams already look.

Invitations

How luxury brands invite clients to private events.

With Eventtia, invitations often start in the CRM. In the luxury programs we support, associates rarely invite clients one by one from the event tool. The CRM team selects the clients in the CRM, for example Salesforce, and the invitation goes out from the CRM or the marketing tool, with the link to the event page.

  1. Step 01

Build the event page in Eventtia

Under your brand, on your own domain, kept out of search engines.

  2. Step 02

Select the clients in your CRM

The CRM team builds the list: clients of a boutique, collectors of a line, clients of an associate.

  3. Step 03

Send the invitation from your CRM

A CRM campaign or your marketing tool carries the link to the page.

  4. Step 04

    The client registers

The form can ask who comes with them, and your team can approve each request.

  5. Step 05

Registration and attendance go back to your CRM

With the integration configured, each registration, each change and each check-in updates the client record.

An unlisted page keeps the event out of search engines. It does not stop a forwarded link. To limit registration to your list, use guest-list restriction: see invite-only event registration.

Boutique teams

Associates invite. The boutique team follows up.

Eventtia also lets a boutique invite from the event platform itself. Authorized staff see who registered, who is pending, and after the event, who checked in. When stores also run their own events, such as workshops or openings, see store event software.

  • Personal invitations

Upload a client list. Eventtia sends each client a personal link, with a registration form already filled with their details.

  • Roles for the boutique team

Roles are set per task and per entity. A team member can validate registrations, send messages or check guests in, without editing the event.

Client record

Event attendance in the client record.

With Eventtia, who came matters more than who registered. Many clients register and do not come. For a clienteling team, the useful information is attendance: who was there, at which event, and with whom. This is what lets the associate start the right conversation after the event.

Events sit next to e-commerce and boutique visits as moments in the client journey. When attendance is in your CRM, your team can put it next to the purchases that follow. This is how a brand builds a full view of each client and starts to measure what its events bring. Eventtia supplies the event data. The link with purchases is made in your CRM.

  • Registered

A registration creates or updates the client in your CRM, for example as a Salesforce campaign member.

  • Approved or declined

A status change updates the same record.

  • Checked in

The scan at the door is sent as a check-in. With offline check-in, scans count once devices sync.

  • Companion registrations

Guests who register together share a group ID, available to the integration and in exports. Each person's attendance comes from their own check-in.

Setup

Configured for your Salesforce org, or your CRM.

Eventtia's integration uses webhooks and the REST API, mapped to your own Salesforce objects and fields. Eventtia can store the Salesforce record ID on the attendee, and Salesforce can store the Eventtia attendee ID, so updates in either direction reach the right record. Failed calls are retried automatically, and a person is alerted if one keeps failing. Your developers, our team or your integrator can build it, as a short project, not a one-click install. How the Salesforce integration works.

Not on Salesforce? The same approach works with HubSpot and Microsoft Dynamics 365.

Client data by country or affiliate.

Eventtia supports roles and permissions by entity. Local teams see the events and guests of their entity. Authorized headquarters administrators can oversee the whole program. Group companies often keep client data separate per affiliate, because a client gives consent to the company that invited them.

Many brands give their events to an agency. We often see the agency deliver the experience while the data never reaches the CRM. In Eventtia, agency staff get the access they need in your account, and the data stays with your brand.

FAQ

Clienteling events, answered.

What is clienteling event software?

It is the software that runs the private events of a clienteling program and sends the results to the CRM. Eventtia does this: the brand invites selected clients, Eventtia hosts the branded page, manages registration, approval and check-in, and with the integration configured sends registration and attendance to the client record.

What software do luxury brands use to invite top clients to private events?

Many luxury brands use Eventtia with their CRM, often Salesforce. The CRM team selects the clients and sends the invitation. Eventtia hosts the branded event page, manages registration, approval and check-in, and with the integration configured sends attendance back to the client record.

Is there clienteling event software that syncs with Salesforce?

Yes. Eventtia connects to Salesforce through webhooks and its REST API, configured for your objects and fields. Registrations, status changes and check-ins can update the client record, and Eventtia can store the Salesforce record ID on each attendee.

Does it work with CRMs other than Salesforce?

Yes. Eventtia uses the same webhooks and REST API with HubSpot, Microsoft Dynamics 365 or another CRM with an API, mapped to your own fields.

Can sales associates invite their own clients and see who comes?

Yes. In Eventtia, an associate's client list can be uploaded, and each client receives a personal link with a pre-filled form. Authorized boutique staff see who registered, who is pending and who checked in. Roles define which tasks each person can do.

How do luxury brands send invitations to client events?

In the programs Eventtia supports, invitations often start in the CRM: the team selects clients in the CRM, often Salesforce, and sends a campaign with the link to a branded, unlisted event page. Brands can also send personal invitations from Eventtia.

Does attendance go back to the CRM, or only registrations?

Both, with the integration configured. Eventtia sends each registration, status change and check-in. With offline check-in, scans are sent once the devices sync.

Can clients book a private appointment in a boutique?

Yes. In Eventtia, the client chooses a time slot on your branded page, and each slot has its own number of places. Check-in at the boutique records that the client came.

Can each country or affiliate keep its own client data?

Yes. Eventtia sets roles and permissions by entity. Each entity's team sees its own events and guests, and authorized headquarters administrators can see the whole program.

Is the event page under our brand?

Yes. Eventtia pages and emails carry your brand, on your own domain, with no Eventtia name or logo for guests.
